General Terms and Conditions

1. Introduction
These General Terms and Conditions govern the rental and use of vehicles provided by SCANDi Luxe Ride Rentals (“Company,” “we,” “us,” or “our”). By booking and using our vehicles, you (“Renter,” “Customer”) agree to comply with these terms and the Rental Agreement presented at checkout/signature. If there is any conflict, the signed Rental Agreement controls.

 

2. Rental Eligibility
♦ Renters must possess a valid driver’s license and complete identity verification (including Stripe Identity) prior to vehicle release.
♦ A clean driving record and valid insurance/protection is required through one of the approved options below.
♦ Additional drivers must be approved, verified, and added to the rental agreement prior to driving.

 

3. Booking and Payment
♦ Full payment is required prior to vehicle release. Reservations are not confirmed until paid in full.
♦ Payment methods accepted: Credit/Debit Cards, Apple Pay, and other approved digital payments.
♦ A payment method must remain on file for post-rental charges (mileage overages, tolls/tickets, charging/fuel differences, cleaning, damage, late fees, admin fees, recovery costs, and downtime/Loss of Use).
♦ Some post-rental charges (tolls/tickets/citations/admin) may be processed and billed after the trip due to third-party timelines (up to 60 days).

 

4. Security Deposit
♦ A refundable security deposit is required before vehicle release and must be placed on a major credit card in the renter’s name.
♦ Standard deposit amounts:
♦ Premium/Luxury Vehicles: $500
♦ EV/Tesla Vehicles (Model 3 / Model Y / Kia EV6): $400
♦ Midrange/Utility Vehicles (e.g., VW Atlas): $300
♦ Deposits may be increased for risk factors such as under-25 renters, out-of-state ID, airport/delivery handoff, long trips (14+ days), limited verification, or other risk indicators.
♦ Deposits are refunded within 7 business days after post-inspection, minus deductions for damages, excessive cleaning/smoke remediation, mileage overages, tolls/tickets, late/holdover fees, or other policy violations.

 

5. Vehicle Use and Restrictions
♦ Vehicles must be used for lawful purposes only.
♦ Smoking/vaping of any substance is strictly prohibited (including marijuana and e-cigarettes). Open alcohol containers are prohibited.
♦ Off-road use, racing/track use, towing, or any high-risk driving activities are not allowed.
♦ Commercial use (rideshare/delivery) is prohibited unless expressly approved in writing.
♦ Renters must return the vehicle with the agreed-upon fuel/charging level.

 

6. Mileage and Usage Limits
♦ Rentals include a specified mileage limit by vehicle tier. Overage fees apply and are charged at return based on odometer readings.
♦ Premium/Luxury: 150 miles/day — $1.50/mile over
♦ EV/Tesla (Model 3/Y/EV6): 200 miles/day — $1.00/mile over
♦ Midrange/Utility: 250 miles/day — $1.00/mile over
♦ Electric vehicles must be returned with the same charge level as received. If returned below starting level: cost of charging + $40 service fee. Fuel shortage: cost of fuel + $75 service fee.

 

7. Insurance and Liability
♦ We do not provide personal auto insurance coverage for the renter. Prior to vehicle release, renters must complete one of the following:
♦ Provide proof of comprehensive/collision coverage that extends to the rental vehicle, OR
♦ Verify coverage through our preferred partner Axle, OR
♦ Purchase optional third-party protection through RentalCover (or provide equivalent third-party protection documentation).
♦ SCANDi Luxe Ride Rentals maintains liability coverage as required by Virginia law; renter remains responsible for physical damage unless and until coverage is confirmed and paid.

 

8. Accidents, Damage, and Roadside Assistance
♦ Any damage, accidents, theft, or incidents must be reported to us immediately and no later than 24 hours after the incident.
♦ Renters are responsible for repair costs unless and until coverage is confirmed and paid.
♦ Roadside assistance is not guaranteed. When available, costs may apply depending on the situation (tires, lockouts, battery depletion, towing due to driver error/negligence, etc.).
♦ Renters may be responsible for vehicle downtime/Loss of Use if the vehicle is unavailable due to damage, excessive cleaning/smoke remediation, towing, or repairs, as outlined in the signed Rental Agreement.

 

9. Cancellation and Refund Policy
♦ Cancellations within 48 hours of the scheduled rental start time are non-refundable, unless otherwise required by Virginia law or stated in writing by the Company.

 

10. Late Returns and Extensions
♦ Late returns without prior written approval incur a $250 late fee.
♦ If the vehicle is more than 2 hours late or crosses into the next calendar day, an additional full-day charge at the prevailing daily rate may apply in addition to the $250 late fee.
♦ Extensions must be requested at least 12 hours in advance and are subject to availability and written approval.
♦ Failure to return a vehicle may result in daily charges until recovered, recovery costs, and applicable downtime/Loss of Use charges as outlined in the signed Rental Agreement.

11. Termination of Rental Agreement
♦ We reserve the right to terminate a rental agreement due to policy violations, unsafe driving, failure to complete verification, or failure to comply with rental terms.
♦ Vehicle recovery may occur if the vehicle is overdue, misused, or payments/fees are not honored.

12. Indemnification
Renters agree to defend, indemnify, and hold SCANDi Luxe Ride Rentals harmless from liabilities, claims, damages, costs, and expenses arising from the use of our vehicles, as detailed in the signed Rental Agreement.

13. Dispute Resolution
♦ Any disputes shall first be attempted to be resolved amicably.
♦ If unresolved, disputes are governed by Virginia law, and venue will be in Virginia as set forth in the signed Rental Agreement.

14. Amendments and Updates
SCANDi Luxe Ride Rentals reserves the right to modify these terms at any time. Updated terms will be posted on our website and apply to future bookings. The signed Rental Agreement in effect at the time of booking governs that booking.

15. Compliance with Virginia State Laws
♦ Record-Keeping: We maintain records as required by Virginia law, including renter identity and the time period the vehicle is in the renter’s possession, for compliance, billing, and dispute resolution.
♦ Rental Taxes and Fees: Applicable Virginia motor vehicle rental taxes and fees may be added to your rental charges as required by law.

16. Requirements for Foreign Drivers
♦ Foreign renters must present a valid passport and driver’s license. If the license is not in English or not using the Roman alphabet, an IDP or official translation may be required.
♦ Foreign renters must meet the same insurance/protection verification requirements (Own Insurance, Axle, or RentalCover/equivalent).
♦ A major credit card in the renter’s name is required for payment and security deposit purposes.

 

17. SMS Terms & Conditions
SMS Opt-Out
♦ You may cancel the SMS service at any time. To stop receiving messages, text “STOP.” After you send “STOP,” we will send a confirmation message to verify that you have been unsubscribed. After this confirmation, you will no longer receive SMS messages from us.

Carrier Liability
♦ Carriers are not liable for delayed or undelivered messages.
Message & Data Rates
♦ Message and data rates may apply. Message frequency may vary.
Privacy
♦ SCANDi Luxe Ride Rentals will not share or sell customer data to third parties for marketing or promotional purposes.
